Understanding Team Member Management & User Permissions

Learn how Team Members, Roles, and Permissions work in Fuelled. This guide explains how to invite users, assign access levels, control permissions, and securely manage who can view or modify data throughout your organization.

Overview

Fuelled allows organizations to securely manage multiple users within a single company account.

Instead of sharing one login across an entire organization, each employee can have their own account with access tailored to their responsibilities.

Examples include:

  • Operations Managers

  • Asset Managers

  • Yard Supervisors

  • Engineers

  • Foremen

  • Inventory Coordinators

  • Sales Representatives

  • Logistics Teams

  • Accounting Staff

  • Executives

  • External Contractors

Each user can be assigned a Role that determines what they can see and do inside Fuelled.


Why Team Management Matters

As organizations grow, not every employee should have access to everything.

For example:

A Yard Foreman may need access to:

  • Equipment

  • Parts

  • Locations

But should not have access to:

  • Billing

  • API Settings

  • User Management

Meanwhile an Executive may need:

  • Reporting

  • Asset Visibility

  • Analytics

But may never edit equipment records.

Role-based access allows organizations to maintain security while giving employees access to the tools they need.


Team Management Structure

Fuelled uses a simple hierarchy:

Each Team Member is assigned a Role.

Understanding Roles

Roles are permission templates that define what users can access.

Examples:

Admin

Full access to all areas of Fuelled.

Can:

  • Manage equipment

  • Manage parts

  • Manage listings

  • Manage users

  • Manage settings

  • Manage billing

  • Manage reports

Recommended for:

  • Ownership

  • Senior Management

  • System Administrators


Viewer

Read-only access.

Can:

  • View equipment

  • View parts

  • View listings

  • View reports

Cannot:

  • Edit records

  • Create assets

  • Delete information

  • Change settings

Recommended for:

  • Executives

  • Auditors

  • Investors

  • Consultants


Custom Roles

Organizations can create their own roles.

Examples:

  • Asset Coordinator

  • Engineers

  • Inventory Manager

  • Sales Representative

  • Logistics Manager

  • Yard Supervisor

  • Maintenance Manager

Each role can have customized permissions.


Creating a New Role

To create a role:

  1. Navigate to Account → Team Members

  2. Under Roles Management select New Role

  3. Enter a Role Name

  4. Configure permissions

  5. Save

The role becomes available immediately for assignment to team members.


Understanding Permissions

Every role can be configured using Read and Write permissions.


Read Access

Read access allows users to view information.

Example:

A user with Read Equipment permission can:

✅ View asset details

❌ Cannot modify records

❌ Cannot create assets

❌ Cannot delete assets


Write Access

Write access allows users to create and modify information.

Example:

A user with Write Equipment permission can:

✅ Create equipment

✅ Upload files

Dashboard

Controls access to company dashboards and operational summaries.

Recommended For:

  • Management

  • Executives

  • Supervisors


Equipment

Controls access to Asset Manager Equipment.

Permissions Include:

  • View equipment

  • Create equipment

  • Edit equipment

  • Review equipment

Recommended For:

  • Asset Managers

  • Operations Teams

  • Inventory Coordinators


Parts

Controls access to Asset Manager Parts.

Permissions Include:

  • View parts

  • Create parts

  • Edit parts

  • Review parts

Recommended For:

  • Warehouse Teams

  • Inventory Managers

  • Maintenance Teams


Listings

Controls access to Marketplace Listings.

Permissions Include:

  • View listings

  • Create listings

  • Edit listings

  • Publish listings

Customers

Controls access to customer records and marketplace inquiries.

Recommended For:

  • Sales Teams

Locations

Controls access to organizational locations.

Business Units

Controls access to organizational divisions.

Logistics

Controls access to transportation and shipment management.

Controls access to equipment appraisal requests and reports.

Billing

Controls access to subscription and payment settings.

Team Management

Controls access to users, invitations, and roles.

Recommended For:

Inviting Team Members

To invite a user:

  1. Navigate to Account → Team Members

  2. Click Invite

  3. Enter one or more email addresses

  4. Select a role

  5. Send invitation

The user will receive an email invitation to join your Fuelled organization.


Pending Invitations

Pending Invitations display users who have not yet accepted their invitation.

Administrators can:

  • View pending invites

  • Resend invitations

  • Cancel invitations

This helps track onboarding progress.

Best Practices

Follow the Principle of Least Privilege

Only provide users with the access they need.

Avoid granting Admin access unless necessary.
