Understanding Asset Transfers

Learn how Asset Transfers work in Fuelled, when to use Internal and Disposition transfers, and how to move equipment between locations or transfer ownership while maintaining accurate inventory records.

What Are Asset Transfers?

Asset Transfers allow you to move equipment throughout its lifecycle while maintaining accurate inventory records within Asset Manager.

Transfers can be used to:

  • Move equipment between company locations

  • Redeploy equipment to another operating area

  • Transfer ownership to a customer after a sale

  • Record equipment disposals

  • Maintain a complete transfer history

Every transfer creates a permanent record that can be reviewed later.


Types of Asset Transfers

Fuelled supports two primary transfer types.

Internal Transfer

Internal Transfers are used when equipment remains owned by your organization but is moved between locations or operational areas.

Common examples include:

  • Moving equipment between yards

  • Redeploying assets to another project

  • Transferring equipment to another facility

  • Moving inventory between warehouses

  • Reassigning equipment between business units

Ownership does not change during an Internal Transfer.


Disposition Transfer

Disposition Transfers are used when equipment leaves your organization's ownership or is permanently removed from inventory.

Fuelled supports multiple disposition types.

External Transfer

Transfers ownership of equipment to a customer following a completed sale.

Use this when:

  • Equipment has been sold

  • Ownership changes to another company

  • Equipment leaves your inventory


Scrapped

Marks equipment as permanently dismantled or disposed of.

Use this when equipment:

  • Has reached end of life

  • Is beyond economical repair

  • Has been recycled or dismantled


Other

Used for any disposition that doesn't fall under a standard workflow.

Examples include:

  • Insurance write-offs

  • Donations

  • Internal write-offs

  • Other custom business processes


Creating an Asset Transfer

Navigate to:

Operations → Asset Transfer

Select:

Create New Transfer


Step 1: Enter Transfer Details

Provide:

  • Transfer Name

  • Transfer Type

  • Transfer Date

  • Notes (optional)

These details help identify the purpose of the transfer.


Step 2: Select the Transfer Type

Choose either:

Internal

or

Disposition

Additional options will appear depending on the selected transfer type.


Step 3: Assign the Transfer

Every transfer can be assigned to a team member.

Assign To

Select the person responsible for completing the transfer.

Reviewer (Optional)

Optionally assign another user to review and approve the transfer before completion.

This is useful for organizations with approval workflows.


Step 4: Add Supporting Documents

Attach any documents related to the transfer.

Examples include:

  • Bills of Sale

  • Transfer Forms

  • Shipping Documents

  • Disposal Certificates

  • Internal Approval Documents

Supporting documentation remains attached to the transfer record.


Step 5: Add Assets

Select Add Assets to choose the equipment included in the transfer.

Fuelled will display equipment eligible for transfer.

Only equipment in transferable statuses can be selected.

Multiple assets can be added to a single transfer.


Step 6: Submit the Transfer

Review the transfer information and select:

Submit

The transfer will be recorded and tracked within Asset Transfers.


Placing Assets on Hold

Before completing a transfer, you can choose to place the selected equipment on hold.

When enabled:

  • Equipment cannot be edited

  • Equipment cannot be transferred by another user

  • Equipment is temporarily locked until the transfer is completed

This helps prevent conflicting updates during active transfers.


Tracking Asset Transfers

Navigate to:

Operations → Asset Transfer

Here you can:

  • View all transfers

  • Search transfers

  • Filter transfers

  • Review transfer status

  • View transfer history

  • Track assigned users

  • Open completed transfers

Each transfer includes:

  • Transfer Name

  • Transfer Date

  • Number of Assets

  • Current Status

  • Last Updated Information


Best Practices

Use Internal Transfers

For equipment moving between:

  • Yards

  • Warehouses

  • Facilities

  • Wellsites

  • Projects


Use Disposition Transfers

When equipment:

  • Is sold

  • Is scrapped

  • Leaves company ownership

  • Is permanently removed from inventory


Assign Responsible Team Members

Ensure every transfer has a designated owner responsible for completing the process.


Attach Supporting Documents

Keep sales documents, shipping records, and disposal paperwork attached to each transfer for future reference.


Use Notes

Record important information such as:

  • Reason for transfer

  • Customer details

  • Internal approvals

  • Shipping information

  • Special handling instructions
