Asset Manager statuses help your organization track equipment throughout its lifecycle, from initial cataloguing and operational availability through sale or disposal.

These statuses apply to the equipment record itself and help your organization maintain accurate internal inventory records.

Fuelled uses a separate status system for equipment being marketed or sold through the Fuelled Marketplace.

Overview

Asset Manager statuses represent the internal state of equipment within your organization.

An Asset Manager status applies whether or not the equipment has ever been listed for sale on the Fuelled Marketplace.

For example, equipment may be:

  • Available for operational use

  • Temporarily unavailable

  • Being prepared for sale

  • Sold

  • Awaiting disposal

  • Scrapped

  • Missing information and requiring review

Marketplace Listings use a separate status system to track their marketplace and sales lifecycle.

Asset Manager Statuses

Available

The equipment is active within your inventory and available for operational use, transfer, sale, or future listing.

Use this when:

  • Equipment is operational

  • Equipment is available for deployment

  • Equipment is available for transfer

  • Equipment may be sold or listed in the future

  • Equipment is actively part of your organization's inventory

Example:
A compressor package that is currently available for deployment or may be sold in the future.

Sold

The equipment has been sold and is no longer owned by your organization.

The equipment record can remain within Fuelled for historical reporting and record keeping.

Use this when:

  • Ownership has transferred

  • The sale has been completed

  • The asset should no longer be treated as active inventory

  • Historical records should be retained

Example:
A separator package that has been sold to another operator.

Unavailable

The equipment is temporarily unavailable for operational use, transfer, or sale.

Use this when:

  • Equipment is undergoing repair

  • Equipment is awaiting inspection

  • Equipment is temporarily inactive

  • Equipment cannot currently be deployed

  • Equipment should not currently be considered available inventory

Example:
A compressor undergoing maintenance before being returned to service.

Draft

The equipment record is still being created and is not yet complete.

Use this when:

  • Cataloguing is still in progress

  • Equipment information is incomplete

  • Specifications still need to be entered

  • Photos or documents still need to be uploaded

  • The record is not yet ready to be treated as complete inventory

Example:
A newly created equipment record that still requires specifications, photos, or supporting documentation.

Pending Scrap

The equipment has been identified as a candidate for disposal or scrap, but the disposal process has not yet been completed.

Use this when:

  • Scrap approval is pending

  • Disposal is awaiting internal approval

  • Scrap value is being reviewed

  • The equipment is undergoing a final disposition review

Example:
A damaged tank that has been identified for removal but is still awaiting approval to be scrapped.

Scrapped

The equipment has been permanently removed from service and disposed of.

Use this when:

  • Equipment has been dismantled or destroyed

  • Equipment is no longer safe or economical to repair

  • Scrap processing has been completed

  • The asset should no longer be treated as active inventory

Example:
An unusable vessel that has been removed from inventory and sent for scrap.

Pending Sell

The equipment has been identified or approved for sale but has not yet completed the process of being listed or sold.

Use this when:

  • Equipment has been approved for sale

  • Internal sale approvals are underway

  • Equipment is being prepared for the marketplace

  • Listing creation is underway

  • Your organization intends to sell the equipment

Example:
A compressor package that has been approved for sale and is being prepared for a Marketplace Listing.

Once a Marketplace Listing is created, the listing has its own Marketplace Listing status.

Review Required

Additional information or review is required before the equipment record can be considered complete.

This status commonly appears during imports, Quick Catalogue workflows, or when equipment records are created with incomplete information.

Use this when:

  • Specifications are missing

  • Photos require review

  • Documents are missing

  • Equipment information requires validation

  • Someone on your team needs to complete or approve the record

Example:
Equipment added through Quick Catalogue that requires additional specifications or internal review before the record can be completed.

Common Asset Manager Workflows

Asset Manager statuses help your organization understand where equipment sits within its internal lifecycle.

New or Incomplete Equipment

Review Required → Draft → Available

The equipment is reviewed, completed, and added to active inventory.

Equipment Temporarily Unavailable

Available → Unavailable → Available

Equipment becomes temporarily unavailable due to maintenance, inspection, or another operational reason before returning to inventory.

Equipment Being Prepared for Sale

Available → Pending Sell

The organization decides to sell the equipment and begins preparing it for the marketplace or another sales process.

Once a Marketplace Listing is created, the listing follows its own Marketplace Listing status workflow.

Equipment Leaving Service

Available → Pending Scrap → Scrapped

The equipment is identified for disposal, approved for scrap, and permanently removed from service.

Equipment Sold

Available or Pending Sell → Sold

Once ownership has transferred and the transaction is complete, the equipment can be marked as Sold.

Asset Manager vs. Marketplace Listing Statuses

Fuelled uses two separate status systems because Asset Manager records and Marketplace Listings represent different things.

Apply whether or not equipment is listed

Apply to Marketplace Listings

Focus on inventory, ownership, availability, and disposition

Focus on listing visibility and sales progression

For example, an equipment record may have an Available Asset Manager status while its Marketplace Listing is still Draft.

The two statuses do not always need to be the same.

Best Practices

  • Use Review Required when an equipment record requires additional information or validation.

  • Use Draft while your team is completing the equipment record.

  • Use Available when equipment is active within your organization's inventory.

  • Use Unavailable when equipment is temporarily unavailable but remains part of your inventory.

  • Use Pending Sell once a decision has been made to prepare the equipment for sale.

  • Use Pending Scrap while disposal is being reviewed or approved.

  • Use Scrapped once the disposal process has been completed.

  • Use Sold once ownership has officially transferred.

  • Remember that an Asset Manager status does not always need to match the status of a Marketplace Listing.
